§ 1. General terms
- Personal Democracy Forum CEE conference (“Conference”) is organized by ePaństwo Foundation with its seat in Warsaw, Nowogrodzka 25/37 (“Organizer”).
- The Conference and its satellite event (Festival of Civic Tech for Democracy) will be held in Gdańsk, starting on April 23, 2020 at 9am until April 25 at 4pm:
- Day 1: April 23, 2020 (9am-6pm);
- Day 2: April 24, 2020 (9am-6pm);
- Festival: April 25, 2020 (9am-4pm).
- Within the framework of the Conference, Speakers’ presentations, panel discussions and workshop sessions will be held.
- The official website of the Conference can be accessed at https://pdfcee.pl/en/.
- The Organizer will prepare photo and video documentation of the Conference. The Organizer will undertake best efforts not to include in the documentation Participants who declare such wish – such persons are requested to contact the Organizer. Images and other personal information that will be included in the documentation will be distributed and processed to the extent permitted by the applicable law (eg. the rules allowing for the dissemination of the image of a person who is merely a detail of the total).
§ 2. Terms of participation
- Due to space limitations and security regulations at the Venue, the number of Participants is limited. Places are available on the “first come first served” basis. Registration should be submitted at https://pdfcee.pl/en/registration/.
- The deadline for registration is April 23, 2020. The deadline may be shortened if the limit of Participants is reached earlier, which will be communicated on the Conference website.
- The Organizer may reimburse travel expenses and accommodation of the Participants according to the principles laid down in separate Terms and Conditions.
- Participants are allowed to attend presentations, discussion panels, and workshop sessions. Participation in workshop sessions is subject to separate registration through a relevant form available on the Conference website.
- Participants and Speakers may resign from attending the Conference by informing the Organizer in writing or electronically using the e-mail address provided on the Conference website.

§ 3. Partners
- The Organizer notifies Partners that they may not engage in marketing activities towards Conference Participants that are unethical, illegal or contrary to good morals.
- In consultation with the Organizer, Partners may present their logos using media provided to that end at the Venue.
§ 4. Complaints
- Any complaints related to the Conference may be sent to the Organizer’s postal address or submitted via email: biuro@epf.org.pl.
- The complaint should include data allowing for identification of the complainant, as well as indicate the basis for the complaint together with reasoning.
- Complaints shall be processed without undue delay. The outcome of each complaint will be communicated using the address of the complainant, as indicated in the complaint.
§ 5. Final provisions
- The Organizer is the controller of the personal data processed in relation to the organization of the Conference. The data is processed in order to organize the Conference. Data subjects have the right to access the data and correct them.
- Should events be beyond the reasonable control of the Organizer, included but not limited to acts of God, an outbreak of epidemics, strikes or labor disputes, civil disturbance, terrorism or threat of terrorism, natural disaster or unreasonable weather conditions, shortages or disruption of electrical power supply, or any other cause reasonably beyond the Organizer’s control making the Conference impractical, impossible or illegal to organize, the Organizer may cancel the Conference partly or in its entirety.
- In such a case, the Organizer will not refund any expenses related to attending the Conference that were borne by Participants.
